Your tasks:
  • Provide a team assistance service, such as
  • planning and organising business travels, settlement of travel expenses
  • ability to write and/or update presentations/papers for submission up to Board level
  • arranging internal and external meetings and follow ups (meeting room bookings, IT equipment, ViCo/Telco, etc.)
  • support in holiday planning of the team members, preparation of holiday overviews Other responsibilities:
  • Support of CEO, CCO, CFO and Head of Gas Portfolio Management CZ (e.g. be responsible for an efficient diary set-up, focusing on the right priorities, that allow the managers to best utilize their time)
  • Work closely with PA at Head of Function on a regular basis and act as contact for the Gas Portfolio Management department based in Essen
  • Regular support and back-up of PAs/TAs in Essen within Gas SBU unit, ensuring effective communication and interaction among assistants at different locations within the team
  • Willing to travel to Essen for cover Essen PAs/TAs, if needed
  • Support of multi-locational aspect of the team; organisation of Team activities;
  • SAP – inserting of contracts and Power of Attorneys including the overall process
  • SAP – creating of new requests, approving invoices (SAP Classic R3)
  • Writing and distributing emails, correspondence memos, letters, faxes and forms
  • Ordering office supplies, kitchen refreshments, business cards, stamps, etc.
  • Scanning contracts and documents, other office administration
  • Taking meeting minutes
Your profile:
  • Strong team player with excellent communication, planning and organisational skills, flexibility, ability to work on own initiative and to proactively identify solutions to problems
  • Ability to communicate effectively with tact and discretion in Czech and English, both in written and verbal formats, with management and staff at all levels within the RWE group and externally
  • Highly motivated and committed, flexible in approach to work, capacity for adapting to challenging and changing work environment and deadlines
  • Ability to work in a busy environment without constant supervision and ability to prioritise and organise work effectively, ensuring excellent attention to detail
  • Cultural fit, high intrinsic motivation to develop and grow in the role
  • Fluency in Czech and English (German as advantage) on written and verbal basis is compulsory
  • An advanced knowledge of the Microsoft Office suite, SAP as advantage
  • Experience as office administrative assistant as advantage
